Exhibition Order, Trade Visitor Management Terms & Notice and Consent Form for Collection of Personal Information

Organizer: MyExhibition Co., Ltd.
To ensure the professional quality of "Taiwan Smart Agriweek" (hereinafter "the Exhibition") and to protect the commercial interests, intellectual property rights, and information security of all exhibitors, international buyers, and professional visitors, the Organizer hereby establishes these Terms. Any person who completes online or on-site registration, collects a visitor badge, or physically enters the Exhibition (hereinafter "Visitor") is deemed to have read, understood, and agreed to be fully bound by these Terms.

 

Section 1 — Scope & Acceptance

  1. These Terms apply to all physical and online forms of participation in the Exhibition, including all related activities before, during, and after the exhibition period (including forums, matchmaking sessions, pre-show briefings, VIP dinners, and study tours).
  2. Submission of a registration (whether by the individual or by a third party on their behalf) constitutes an offer to participate in the Exhibition under these Terms. All registrations only become effective upon review and acceptance by the Organizer. The Organizer will confirm acceptance via email or other written means, or by issuing a visitor badge on-site as authorization to enter.
  3. The Organizer reserves the right to refuse any registration without providing reasons.
  4. Consent to Personal Data Collection: Annex I — "Personal Data Collection Notice and Consent Form" — informs Visitors of the collection, processing, and use of personal data in accordance with the Personal Data Protection Act and applicable regulations. Upon completing registration, the Visitor is deemed to have simultaneously agreed to all contents of Annex I. Annex I carries equal force with these Terms and is an inseparable part thereof.

 

Section 2 — Absolute Organizer Authority & Eligibility Review

  1. Absolute Discretion: This is a B2B professional trade show. The Organizer reserves the right of Absolute Discretion to review, refuse, revoke, or cancel any person's visitor eligibility without prior notice, and without assuming any liability for compensation.
  2. Non-Transferability of Registration: Visitor badges are for the registered individual's use only and may not be sold, transferred, lent, or made available to any other person in any manner. Violations will result in immediate badge confiscation and denial of entry.
  3. Revocation of Eligibility: During the exhibition period, if the Organizer determines that a Visitor's conduct disrupts exhibition order, harms exhibitor interests, damages the overall operation of the Exhibition, or violates any provision of these Terms, the Organizer may immediately revoke the visitor badge, require immediate departure, without refunding any fees paid or assuming any resulting liability.
  4. Compliance with Organizer Instructions: Visitors must comply with all reasonable instructions issued on-site by the Organizer, venue management, security personnel, and event execution teams — including but not limited to crowd flow control, entry time slots, and restricted area access.
  5. Right to Modify Event: The Organizer reserves the right to modify the format, content, location, venue, opening hours, exhibition period, dates, participant lineup, and any other aspect of the Exhibition at any time without liability. If dates are changed to within twelve (12) months of the originally scheduled opening date, original registrations remain valid for the new dates.
  6. Minor Restrictions: Children under the age of 12 are not permitted to enter the exhibition. The Organizer reserves the right to request identification for age verification. Anyone found to be under the minimum age requirement may be denied entry or asked to leave the premises.

 

Section 3 — Professional Visitor Obligations

  1. Obligation to Disclose True Identity: Visitors must accurately provide their name, company, job title, and contact information at registration. It is strictly prohibited to register or enter using a false identity, misrepresented employer, concealed affiliation, or any inaccurate information.
  2. Trade Visitor Application Requirement: The following individuals must submit a prior written application to the Organizer and receive explicit written approval before entry is permitted:
    o    Employees or representatives of other exhibition organizers or competing trade shows
    o    Employees or representatives of exhibition contracting, planning, or execution companies
    o    Professionals from trade matching platforms, MICE tech service providers, or others in direct or indirect competition with the Exhibition
    o    Media personnel (who must follow the separate press registration process)
  3. Prohibition on Unauthorized Business Development: If the above trade visitors enter without permission, or enter with permission but engage in exhibitor solicitation, client poaching, competitive intelligence gathering, market research, or sales promotion, the Organizer will immediately revoke their visitor eligibility, require departure, and proceed pursuant to Section 6.
  4. Anti-Canvassing Policy: It is strictly prohibited for any unregistered individual or entity to conduct the following activities anywhere within the exhibition grounds (including main exhibit halls, aisles, rest areas, registration areas, forum venues, F&B areas, and all other public areas):
    o    Distributing flyers, catalogs, business cards, advertisements, or any promotional materials
    o    Soliciting exhibitors or other visitors for business, exhibition participation, or event registration
    o    Setting up unauthorized displays, promotional installations, or impromptu solicitation points
    o    Engaging in any form of commercial persuasion, partnership solicitation, or client development

 

Section 4 — Exhibition Order & Code of Conduct

  1. Visitors must maintain professional conduct within the exhibition grounds and must not engage in any behavior that interferes with exhibitor operations, disrupts other visitors' experience, or damages the overall image of the Exhibition.
  2. Prohibited items include dangerous goods, flammable materials, weapons, unauthorized large objects, and pets (guide dogs and service animals excepted).
  3. Surveys, merchandise sales, prize draws, assemblies, or any form of promotional activities not authorized by the Organizer are strictly prohibited within the exhibition grounds.
  4. Visitors who violate venue management rules (including but not limited to no-smoking and no-food zones) may be immediately required to cease the violation or exit the premises.

 

Section 5 — Intellectual Property, Photography & Information Security

  1. Photography & Recording Restrictions at Exhibitor Booths: To protect exhibitors' patents, designs, trade secrets, and client data, targeted photography, video recording, or audio recording within an exhibitor's booth area is strictly prohibited without the exhibitor's explicit consent — including but not limited to product details, technical specifications, catalog interiors, client data, quotations, and contract documents. Where an exhibitor has posted "No Photography," "No Photo," or similar signage at their booth, Visitors must strictly comply.
  2. Prohibition on Abnormal Intelligence Gathering: The following methods of intelligence gathering or commercial investigation against exhibitors are strictly prohibited:
    o    Impersonating buyers, clients, media, or government representatives
    o    Concealing true employer or competitive relationship
    o    Using leading questions to extract trade secrets from staff
    o    Taking samples, documents, or catalogs beyond displayed quantities without consent
    o    Using recording devices, concealed audio recorders, or other means to collect data without consent
  3. Organizer's Event Recording Rights: Visitors agree that the Organizer and its authorized personnel may conduct photography, video recording, live streaming, and audio recording during the Exhibition. Such content may include Visitors' likenesses, voices, and moving images (collectively "Event Content"). Visitors acknowledge and agree that:
    o    The Organizer is the sole and exclusive owner of all rights in the Event Content
    o    Visitors waive all claims to such Event Content
    o    The Organizer may use the Event Content without limitation worldwide for exhibition promotion, follow-up marketing, exhibitor recruitment, media releases, social media distribution, and any other purpose, without payment of any fees or compensation
  4. Restrictions on Visitor Recording: Without prior written consent from the Organizer, Visitors are strictly prohibited from conducting unauthorized live streaming, commercial photography, commercial video recording, commercial filming, journalistic recording, or any form of audio-visual transmission of the Exhibition. In the event of violations, the Organizer may:
    o    Require the Visitor to immediately surrender or destroy the violating content on the spot
    o    Automatically vest all copyright and other intellectual property rights in such violating content in the Organizer from the moment of creation
    o    Require the Visitor to indemnify the Organizer and all Maoyu Exhibition Co., Ltd. employees and representatives from any claims arising from such violations
  5. Information Security Responsibility: Access to networks, login accounts, matchmaking platform passwords, and other information systems provided at the Exhibition is for the individual Visitor's use only and may not be transferred to others. Visitors bear full responsibility for all actions taken under their account credentials.

 

Section 6 — Enforcement & Consequences of Violations

Any violation of these Terms will result in the Organizer requiring immediate departure and reserving the following rights:

  1. Immediate On-site Action: Confiscation of visitor badge and termination of entry eligibility for that day and all remaining exhibition days, with no refund of any fees paid.
  2. Blacklist Mechanism: The violating individual and all employees of their company (including affiliates) may be permanently or temporarily banned from all future exhibitions, forums, and business events organized by Maoyu Exhibition Co., Ltd. The Organizer may also report the violation to partner trade show organizers.
  3. Reservation of Legal Action: If the violation causes reputational, property, or commercial harm to the Organizer, exhibitors, or third parties, the Organizer reserves the right to seek damages and pursue all available civil and criminal legal remedies.
  4. Final Authority on Violations: The Organizer's determination of whether a violation has occurred is final and binding; Visitors may not contest this determination.

 

Section 7 — Disclaimer

  1. No Guarantee of Exhibitor Lineup: The Organizer makes no guarantee regarding the attendance, absence, booth location, display content, participation numbers, or commercial performance of any exhibitor, sponsor, buyer, or forum speaker.
  2. No Guarantee of Visitor Outcomes: The Organizer makes no guarantee that participation in the Exhibition will result in any business opportunities, partnerships, orders, or any other benefits for Visitors.
  3. Exhibitor Products & Services Disclaimer: The Organizer assumes no liability for any products, services, or technologies displayed or sold by exhibitors, or for any representations or promises made at exhibitor booths.
  4. Personal Arrangements at Own Risk: Transportation, accommodation, dining, insurance, and all other personal arrangements made by Visitors in connection with the Exhibition are entirely at the Visitor's own expense and risk. The Organizer assumes no liability for such costs even if the Exhibition is modified or cancelled.
  5. Exclusion of Damages: To the maximum extent permitted by law, the Organizer and all Maoyu Exhibition Co., Ltd. employees and representatives shall not be liable for any direct, indirect, consequential, special, or punitive losses arising from (or in connection with) participation in the Exhibition — including but not limited to personal injury, property loss, theft, loss of profit, loss of business, loss of opportunity, loss of goodwill, data damage, or any other economic loss.

 

Section 8 —Personal Data Collection Notice & Consent Form

Pursuant to Article 8 of the Personal Data Protection Act and applicable regulations, Maoyu Exhibition Co., Ltd. (the "Organizer") hereby notifies Visitors ("you") of the following regarding the collection, processing, and use of your personal data. By completing and submitting the registration form, or by checking the consent box and submitting your information, you are deemed to have read, understood, and agreed to all contents of this Annex, with such consent carrying the force of written consent as required under the Personal Data Protection Act and applicable regulations.

  1. Data Controller: Maoyu Exhibition Co., Ltd.
  2. Purpose of Collection: Personal data is collected for marketing activities, customer management and service, market research, statistical analysis, research report production, and follow-up communications and services related to the Exhibition.
  3. Categories of Personal Data: Including name, contact information (phone number, job title, email address, mailing address, etc.), gender, occupation, and any other data that directly or indirectly identifies you.
  4. Period, Region, Recipients & Manner of Use: The Organizer collects only the personal data necessary for the specific purposes listed in Item 2, and processes and uses such data within the Republic of China and as permitted by law — including but not limited to computer processing, postal mail, telephone, fax, email, and SMS — for a period of two years after the specific purpose is fulfilled, or as otherwise required by law.
  5.  Third-Party Data Sharing Notice: During the Exhibition, exhibitors and sponsors may use business card scanners, barcode scanning devices, or Lead Capture applications to collect Visitor data. If you choose to have your visitor badge (physical or digital) scanned by any exhibitor or sponsor, you consent to the Organizer transferring your personal data to such third parties. Additionally, access to certain zones may be contingent on your authorizing the Organizer to share your personal data with the sponsor or operator of that zone. The Organizer assumes no liability, to the extent permitted by law, for third parties' use of your personal data.
  6. Your Rights: Pursuant to Article 3 of the Personal Data Protection Act, you may exercise the following rights regarding your personal data held by the Organizer:
    o    Inquiry or request to review
    o    Request for a copy
    o    Request for supplementation or correction
    o    Request to cease collection, processing, and use
    o    Request for deletion
  7. Note: The Organizer may charge necessary costs for reviewing personal data or providing copies. Exercising these rights is subject to the requirements of the Personal Data Protection Act.
  8. Optional Provision: You may freely choose whether to provide personal data to the Organizer. However, if you choose not to provide or incompletely provide data, the Organizer may be unable to complete your registration review, send exhibition notices, provide on-site services, or deliver other Exhibition-related services.
  9. Effect of Consent: Upon submitting your registration or checking the consent box, you confirm that you have read and understood all notices contained in this Annex, and consent to the Organizer collecting, processing, and using your personal data for the purposes, in the manner, and for the period described herein.

 

Section 9 — Amendments & General Provisions

  1. The Organizer reserves the right to amend these Terms at any time without prior notice. Amended Terms take effect immediately at the time of the Exhibition; Visitors must comply with the version in effect at the time of the Exhibition.
  2. The Organizer's rights and remedies are cumulative and do not exclude other rights and remedies provided by law. Any delay or failure to exercise any right or remedy does not constitute a waiver.
  3. These Terms shall be governed by the laws of the Republic of China (Taiwan). Any disputes arising from these Terms shall be submitted to the Taiwan Taipei District Court as the court of first instance by mutual agreement.
  4. Where both a Chinese and another language (e.g., English) version of these Terms exist, the Chinese version shall prevail in the event of any discrepancy.
